When something goes wrong on site - a near miss, a cut hand, a cracked window - the record you make in the first hour is the one that matters later. Capture it while it is fresh
- Record near misses, injuries, property damage, dangerous occurrences and environmental incidents.
- Rate severity from low to critical, and stamp when it actually happened rather than when you got round to typing it up.
- Tie it to the job, the site and the worker involved, so the context is never lost.
Investigate, don't just file
- Write down the immediate action you took, the people involved and any witnesses.
- Record the follow-up actions that came out of it, so the fix is part of the record.
- Flag an incident as notifiable and log the date and time you notified the regulator.
Close it out
- Move each incident from open, to investigating, to closed.
- A closed incident carries the resolution you wrote and the date it was closed.
- Every incident keeps its own reference code, so you can point at it in a conversation or an audit.

- What kinds of incident can I record?
- Near misses, injuries, property damage, dangerous occurrences and environmental incidents, each with a severity from low to critical and its own reference code.
- Does it handle a notifiable incident?
- It gives you the record. You can flag an incident as notifiable and log when you notified the regulator, so the paperwork exists and is dated. Deciding whether an incident is notifiable, and actually notifying, stays with you under your own state or national work health and safety law.
- Is an incident the same as a JSA?
- No. A JSA is the plan before the work - hazards, risk ratings and controls. An incident is the record of something that actually happened. They sit side by side on the same job.
- Where do incidents get reported from?
- The office records them in Tradescraft from what the crew reports, linked to the job and site. That keeps one consistent, complete record rather than half a report from a phone.
